Data Privacy Policy

Sensitive Data Policy:

As a matter of policy, our platform stores a minimum amount of PII (typically name and email) where applicable and will only store additional sensitive user data based on the express contract of a customer. As a matter of policy, we do not retain private, sensitive data. This includes citizen identifiers, credit card numbers, and other high-risk data.

Our streaming platform complies with GDPR on all systems.

Our streaming platform processes private user data. User Data is data collected from our users who utilize our streaming platform to access the Record data provided such as through video embeds or media library/conference solutions. This data may include individuals’ name, email address, and analytics information about the individual’s usage of the Media Library. It may also include biographical information that the individual may share when using a chat function within the software.

Data Purge Policy:

To comply with the law and regulation, we purge any data related to an individual at their written request. This includes removing all data about their usage and any information which can be tied to that individual. This may include the purging of record data, analytics, user accounts, and more.

Data Availability Policy:

We will make data available for use or viewing based on user privileges. We will strive to otherwise prevent access to any data both from security threats but also from access by non-authorized parties.

Encrypted Privacy Data:

Our streaming platform currently encrypts at rest known high risk privacy information such as email addresses and passwords.

Data Retention:

Unless otherwise required by law, our streaming platform will retain privacy data until an individual requests the purging of their data per the data purge policy.

Our streaming platform utilizes traditional cookie/session-based authorization behind a username/password and optional 2 factor authentication. We may offer public access for part or all of our website. In these cases, authorization is based on user account with rights assignments done by us and linked to media assets through the streaming platform. Our platform’s Media Libraries may also institute Institutional Access in line with most publishing platforms which may involve direct authentication, third- party authentication, methods for off-campus access (such as EZproxy, Shibboleth, Azure, WAM, or VPN), and/or IP based authentication based on customer contract. Regardless of authentication and authorization method, institution access is also governed by a traditional cookie/session-based approach.
